This Grievance Redressal Policy applies to all employees involved in the Products, Sales, Service, Operations, Research, and Compliance teams. All employees are required to carefully read the contents of this Policy and comply with its requirements at all times.
A. Introduction
Arkasva Ventures LLP (hereinafter referred to as “Arkasva”) acts as a Mutual Fund Distributor.
This Grievance Redressal Policy outlines the grievance-handling process within a structured framework. Investor inquiries and complaints represent a significant voice for our investors, and a prompt and effective service is crucial for maintaining existing partnerships. Arkasva has established principles and a framework to handle both queries and grievances to ensure that:
- All investors are treated fairly and equitably.
- Complaints raised by investors are dealt with in a time-bound manner.
- Investors are provided with information on how to raise their issues and complaints, and how to escalate if they are not satisfied with the resolution or handling.
- A dedicated Customer Services Team is in place to handle customer queries and complaints, with the process supervised by a senior resource.
B. Grievance Raising Mechanism
Investors are entitled to make a complaint in writing, orally, or telephonically directly to Arkasva.
- Investors with grievances must first raise the matter directly with Arkasva.
- For complaints related to Mutual Funds, investors can reach the Arkasva team directly via email at: services@arkasva.com

- Investors can send letters to: Prizm Greystone, Unit 101, First Floor, Millers Road, Bengaluru – 560 052, Karnataka.
- Arkasva shall endeavour to redress investor complaint(s) within 21 (twenty-one) calendar days from the date of receipt of the complaint by Arkasva.
C. Internal Grievance Redressal Process
The Customer Services Team receiving the query/complaint is responsible for its resolution. At the first level, the Head of the Customer Services Department is responsible for ensuring that the query/complaint is resolved to the investor’s satisfaction and must attempt to offer the investor alternate solutions.
Queries and complaints are investigated at various levels of escalation as maintained by Arkasva, within the allotted time frame. Investors are informed of the turnaround time for specific queries or complaints that require additional time for inquiry — for example, in cases involving fraud, legal considerations, or input from a third party. Arkasva is committed to communicating its position on any matter promptly, and doing so in a transparent and investor-friendly manner.
D. Display of Complaints Data
Details of complaints shall be disclosed on the website by the Arkasva Compliance Department every quarter, by the 7th day after the close of each calendar quarter.
E. Management Information System (MIS) Report on Investor Complaints
An MIS report of complaints received, pending, and resolved will be placed before the Partners of Arkasva at regular intervals for their review and information.
F. Maintenance of Records
- A Register of Complaints and Grievances shall be maintained and updated with details of complaints, their resolution, and the time taken for resolution.
- Soft and hard copies of complaints received from investors shall be preserved by the Customer Services team for future reference, if required.
- A detailed report of complaints received and resolved, along with reasons for any delay in resolution, will be recorded.
- The Register of Complaints and Grievances will be maintained for such period as prescribed by the regulatory authority from time to time.
G. Review of Policy
This Policy shall be placed before management, and any warranted changes to the Policy shall be placed before management for review and approval. Where management finds it necessary, the views of concerned Business Heads and the Chief of Internal Audit (if any) may be taken into account. The Policy will be reviewed once a year by the Principal Officer/Compliance Officer and one of the Board of Directors.
